Administrator/ Executive Assistant
Local corporation(subsidiary of Japanese beverage company) that searches for business opportunities and collects information in the United States, seeking for Administrator/Executive Assistant
Essential Duties & Responsibilities:
- Coordinate, schedule, and maintain business calendars in our systems
- Book domestic and international travel for CEO and visitors– flights, cars, hotels, meals, meeting spaces, etc.
- Welcoming VIP and Visitors to the office
- Expense report filing and tracking
- Administrative functions such as making copies, sending faxes, filing, etc.
- Prepare meeting documents and maintain files accordingly
- Answer incoming phone calls and respond to caller inquiries or route calls as appropriate
- Providing routine information and responding to routine inquires and requests
- Coordinate and order business meals for office meetings with VIP and visitors, team events, conferences, etc.
-Work hours may change, Paid over time would be required in busy time.
- Other duties and special projects as assigned
Skills and Qualifications:
Written and verbal communication skills
Scheduling
Computer software skills including Microsoft Office
Organization skills
Time management skills
Travel logistics
Education and Experience Requirements:
Bachelor’s degree preferred
Must be bilingual in both English and Japanese
Proficiency in MS Office, especially Word, Excel, and Power Point
Three to five years of administrative and/or role supporting senior level executives experience
Experience of hospitality industry, such as Hotels is a big plus.
Experience managing multiple calendars and booking travel
Skilled in being a motivated, self-starter and team player
Exceptional time management and customer service skills
Strong work ethic and positive attitude
Salary: $20~28 (hrs) DOE
after three months, eligible for insurance (Health, Dental,)
Term: Temp
Monday to Friday
hrs : 9-5 (occasionally required paid over time)
