well-known Japanese Financing company seeks for Administrative Specialist

II. Essential Job Functions
 Assist our sales staff in originating and proofreading financial proposals for customers and prospects, both in English and Japanese, which includes running price models and creating appendix with the list of lease equipment.
 Assist in creating and proofreading credit applications, both in English and Japanese, to be submitted to internal Credit Department.
 Work with internal Legal and Accounting professionals mostly in English for basic contractual and compliance matters and help prepare and proofread legal and due diligence documentations.
 Support sales staff on light customer correspondence, via both email and telephone, such as following up on the information that was previously communicated.
 Prepare various internal reports while working with Japanese headquarters offices and their various departments.
 Handle post-closing internal requirements such as acquiring insurance certificate from customers and manage due dates of various tasks.
 Manage internal and contractual documentations on a cloud server.
 Help maintain sales related internal regulations, due diligence and compliance.
 Engage in light external communications such as contacting third-party vendors.
 Attends periodical internal sales meetings when appropriate.
 Set up and prepare for internal and external meetings.
 Register visitors with the building staff.
 Answer and transfer phone calls to appropriate employees.
 Handle physical mail deliver/receipt via USPS and private carriers.
 Help arrange customer meals.
 Help arrange the transportation and schedule for visitors.
 Performs special projects and other miscellaneous duties as assigned by management.
 Maintains high ethical standards in the workplace.
 Reports all irregular issues and problems to management for solution.
 Maintains good communications with supervisors, other employees and outside contacts.
 Complies with all company policies and procedures.
 Responsible for maintaining a clean and safe working area.

IV. Qualifications
 Bachelor’s Degree from four-year accredited college or university; or equivalent combination of education and related experience.
 Three or more years of related work experience in finance.
 English and Japanese.
